CRM Integration

Connect your agency’s existing CRM with MLS RealtyHub for an agreed property information workflow, with the data scope and technical setup defined around your needs.

CRM Integration interface preview

Keep your established CRM while creating a controlled connection to MLS RealtyHub for the property information and workflow your team needs. CRM Integration is available on request. We assess and define the connection for your business and technical requirements.

Keep the System Your Team Already Knows

An agency may already rely on a CRM for its daily client work while using MLS RealtyHub for professional property inventory, collaboration and related operations. Without a defined connection, staff may have to export files, re-enter property details or check more than one system before continuing a task. The problem is the lack of an agreed route between the two systems.

CRM Integration connects MLS RealtyHub with an external CRM for a defined use case. Its purpose is to support a controlled exchange with clear rules for the participating systems and permitted data. Your existing CRM remains in place, and the integration covers the records needed for the agreed workflow.

Define the Exchange Before Building It

A useful integration starts with the workflow the agency wants to support. The agency and technical team identify where manual handling creates unnecessary repetition. We can then assess the request against the capabilities of MLS RealtyHub and the external CRM. The integration scope establishes:

  1. which CRM will connect to MLS RealtyHub;
  2. which property information is relevant to the workflow;
  3. whether data needs to enter MLS RealtyHub, leave it or follow another agreed direction;
  4. what event or schedule should initiate an exchange, if recurring exchange is required;
  5. which steps can be automated and which decisions remain with the user;
  6. what access, documentation, mapping and client-side configuration are needed;
  7. what happens when a record does not meet the agreed requirements.

The exact fields, direction, triggers, frequency and technical method depend on the requirements agreed for each integration.

From Business Need to Integration Scope

The clearest way to prepare a request is to follow the work itself. Start with one repeated task and trace where information begins, who uses it and what should happen next. This keeps the project focused on a practical result.

Start With One Workflow

The agency identifies a specific situation, such as maintaining property information in MLS RealtyHub while continuing client management in its established CRM. The team explains what is done manually today, where the handover occurs and which part of that handover it wants to change.

This step also identifies the users involved. An agency head or operations lead can define the business requirement, while the technical team or integration partner establishes what the external CRM can support.

Set the Data Boundary

MLS RealtyHub supports programmatic exchange for supported resources, including property-related information. Access to every record held inside the platform is not part of that capability. Lead and inquiry data, user data, sensitive client documents and transaction documents fall outside the scope of a property information exchange.

The request therefore needs a precise data boundary. Other data categories require separate product, privacy and technical approval before they can be included.

Confirm the Technical Route

MLS RealtyHub provides an integration layer that includes API capabilities, API-Lite for listings and property feeds in JSON or XML. An agreed CRM connection may use an appropriate mechanism from this layer. The choice depends on the systems, data and workflow involved.

The technical route is selected after the requirements are understood. Authentication, endpoints, schemas, rate limits, retry logic and delivery frequency are addressed as part of the technical discussion for the request.

A Practical Agency Scenario

Consider an agency that uses its own CRM for client follow-up but works with property information in MLS RealtyHub. Team members currently export property details and enter selected information into the CRM whenever they prepare the next client action. The agency asks whether that handover can be handled through a defined connection.

The request focuses on the property information needed for that one workflow. The agency describes the external CRM, the current manual step and the intended destination. We work with the technical participants to assess the data, direction and trigger, then define what can be configured. The resulting scope covers the agreed handover rather than every record in either system.

Choose the Right Connection for the Job

CRM Integration belongs to the API, Feeds & Integrations area of MLS RealtyHub. Each neighbouring option addresses a different technical requirement.

  1. CRM Integration is a defined connection between MLS RealtyHub and a particular external CRM. It is available on request.
  2. MLS RealtyHub API provides programmatic exchange for supported resources. A connection to a particular CRM requires its own assessment.
  3. API-Lite is the lighter listing-focused option. Its use depends on the agreed requirement.
  4. Property feeds organise outbound property delivery in JSON or XML.
  5. Data Migration addresses the transfer of an existing data set between systems or versions. A one-time migration and a recurring integration serve different needs.

Selecting the route begins with the business task. A company that needs a one-time move, an outbound property feed and an ongoing CRM connection has three requirements, even if they form part of the same wider implementation.

Control Does Not End After Connection

An integration automates the exchange agreed for the defined workflow. Users remain responsible for maintaining the relevant source information and making the professional decisions that follow from it. The external CRM continues to operate under its own configuration, permissions and data practices.

MLS RealtyHub is not a repository for passports, completed contracts or other sensitive transaction documents. Its internal CRM functions do not extend the scope of an external property information exchange to leads or inquiries. Any extension to other data categories requires separate approval.

Availability and Current Limits

CRM Integration is available on request. We assess the workflow, external system and technical requirements with each company before agreeing on compatibility, scope and implementation.

The scope of a request does not assume:

  1. a prebuilt connector for every CRM;
  2. the same transferable fields for every setup;
  3. an inbound, outbound or bidirectional model by default;
  4. fixed triggers, update frequency or synchronisation latency;
  5. standard authentication, endpoint, schema, SDK or rate-limit specifications for every integration;
  6. compatibility, implementation time or service level before assessment;
  7. automatic external transfer of leads, inquiries or sensitive client documents.

Discuss Your CRM Setup

If your company already uses a CRM, bring one concrete workflow to the discussion: the system involved, the manual handover you want to change and the property information required. We can then assess whether an integration can be defined for your request and identify the technical questions to resolve.

Frequently asked questions

CRM Integration, explained.

Is CRM Integration included in every MLS RealtyHub account?
No. CRM Integration is available on request. We review the external system, workflow, data scope and technical requirements before confirming an integration.
Does MLS RealtyHub have a ready-made connector for any CRM?
We assess connections for specific CRM requirements. A connection is ready to proceed once compatibility and scope have been agreed.
Can the integration synchronise data in both directions?
The direction of exchange depends on the specific request. We assess the required direction and resources before defining the integration.
Can lead and inquiry data be transferred to an external CRM?
Lead and inquiry data are outside the standard property information scope described here. Transferring other data categories requires separate product, privacy and technical approval.
Is CRM Integration the same as importing an existing database?
No. Import or migration is a one-time transfer between systems or versions. CRM Integration describes an ongoing connection when recurring exchange is part of the agreed scope.
