Duplicate Listing Monitoring

Review potentially matching property records during publication, compare key details and listing authors, and decide whether to proceed, revise or coordinate with another professional.

Two listings can look different on the surface and still refer to the same property. Duplicate Listing Monitoring in MLS RealtyHub checks for that possibility during the listing publication workflow. It brings potentially similar property records to the agent’s attention without making the final decision on their behalf.

See potential duplicates before they create more work

Duplicate Listing Monitoring is a live MLS RealtyHub feature for agents preparing a property listing for the professional inventory. When a completed listing is sent for publication, MLS RealtyHub compares its main characteristics with existing records and returns an informational selection of potentially similar properties.

The author can then assess whether another record may describe the same property, whether it is only comparable and whether another professional is already representing it. A similarity result is a reason to review the records, not a final classification.

When this check matters

The feature is useful when an agent has collected property information and is ready to publish it in the MLS environment. At this point, the question is not only whether the new card is complete. The agent also needs to know whether closely matching information already exists.

The result helps the agent decide where closer review is needed:

  1. review whether an existing listing may represent the same property;
  2. identify the author of a potentially matching listing;
  3. compare the proposed price with similar offers in the same subsegment;
  4. decide whether a separate listing is still appropriate;
  5. contact another representative directly when professional coordination is needed.

What MLS RealtyHub compares

The check uses the information already entered for the listing. Comparison parameters include:

  1. transaction type;
  2. property type;
  3. asking price;
  4. location;
  5. area in square metres;
  6. additional property characteristics.

These signals are used to find analogous records rather than to declare an exact match. Similar properties in the same location can share many characteristics without being duplicates, so the output is designed for human review.

From publication trigger to review

The workflow begins when the agent completes a listing and sends it for publication. MLS RealtyHub processes the listing parameters against relevant property records and prepares a short analytical selection. The sequence is straightforward:

  1. The agent creates the listing and provides its property details.
  2. The agent sends the listing for publication.
  3. MLS RealtyHub compares the listing parameters with existing records.
  4. The system shows similar properties published in the location or nearby.
  5. The agent reviews the selection and decides whether the records describe the same property, a comparable offer or unrelated inventory.
  6. If another author appears to represent the property, the agent can contact that professional outside the platform and clarify how they will work with the listing.

The result informs the next action; it does not replace it. The agent remains responsible for evaluating the match and deciding whether to proceed, revise the listing or coordinate directly with another author.

A typical agent scenario

An agent is preparing a resale apartment for the MLS inventory. The property type, location, area and asking price are already entered, along with its additional characteristics. When the listing is sent for publication, MLS RealtyHub returns a selection of potentially similar records from the same area.

Most of them are comparable apartments. One record, however, is close enough for the agent to review more carefully. The agent can see who authored it, compare the available property information and contact that professional outside MLS RealtyHub if clarification is needed. The platform has surfaced the possible overlap; the professionals determine the relationship between the records and any rules for working with the property.

Similarity is not proof of a duplicate

The same selection can support a second, narrower use. Suppose none of the results appears to describe the same property. The agent can still review analogous offers and consider whether the proposed asking price fits the current subsegment.

MLS RealtyHub does not automatically set or validate the price. It provides the informational context, and the agent decides whether the listing needs any adjustment.

User control and system automation

The division of responsibility is clear. MLS RealtyHub performs the comparison and presents potentially similar records. The agent supplies the listing information, reviews the output, interprets the similarity and chooses the next step.

This distinction matters because property similarity and professional representation are different questions. MLS RealtyHub can compare the property data available in its records, but those parameters alone do not determine why two listings are similar or how the professionals involved should work together. The feature therefore brings a possible overlap to the agent’s attention without turning a system-generated signal into an automatic business decision.

Part of the MLS and co-broking network

Duplicate Listing Monitoring belongs to the MLS & Co-broking Network module. Its role is specific: it helps agents examine possible overlap around a listing before deciding how to use the existing professional inventory or coordinate with another representative. An agent may find that a suitable property record is already available and that creating another version is unnecessary. If the agent knows the owner or has a direct professional reason to work with the property, the existing record can become the starting point for coordination with its author. The monitoring feature supplies the information needed to recognise that situation; it does not create the professional arrangement.

MLS RealtyHub remains outside that coordination. It is a B2B operating platform, not a broker, intermediary or party to an agreement. If two professionals need to clarify representation or working terms, they do so directly outside the platform.

What the feature does not do

Duplicate Listing Monitoring is an informational detection and review feature. It does not promise to eliminate every duplicate, and it does not treat every similar record as the same property. The feature also does not:

  1. block publication because a similar listing appears;
  2. automatically merge, remove or replace listings;
  3. resolve representation conflicts;
  4. establish or enforce cooperation terms between professionals;
  5. make the final duplicate decision for the user.

These boundaries protect the difference between a system-generated comparison and a professional decision. The platform can show the possible match and the relevant author; it does not decide the legal or commercial meaning of the result.
