Create, structure, and maintain property Listings in one professional workspace so your inventory stays organised, current, and ready for the next supported workflows in MLS RealtyHub.
Why Inventory Becomes Harder to Manage as the Portfolio Grows
Managing a small number of properties is simple enough. Information can live in spreadsheets, folders, old advertisements, message threads, and separate internal files because the professional can still remember where everything is. As the portfolio grows, that stops working. It becomes harder to know which price is current, which description is still valid, whether the record is complete, which materials belong to the active offer, and which Listings should no longer remain active.
The issue is not simply having more information. It is keeping control of the working version of every offer. A structured inventory helps professionals solve several connected problems at the same time:
- knowing which information is current;
- keeping property records complete as information is added or updated;
- maintaining commercial data as it changes;
- separating active offers from historical records;
- avoiding repeated recreation of the same core data for every new workflow;
- reducing fragmented handoffs when the same property information is needed by colleagues or in other supported processes;
- keeping inventory manageable as the number of Listings grows.
What Listings & Inventory Management Is
MLS RealtyHub brings this work into one structured environment where a physical Property is represented as a digital commercial Listing that can be maintained throughout its working lifecycle.
Instead of rebuilding the same information every time the property moves into another process, the user maintains one structured record that brings together the essential parts of the offer:
- property characteristics;
- location information;
- commercial terms;
- media and documents;
- internal and external identifiers;
- the current Listing state.
The Module takes these inputs and turns them into a maintained working Listing that remains part of the user’s inventory as the offer changes.
Property, Listing, and Inventory Are Three Different Entities
These concepts are connected, but they are not the same. Keeping them separate matters because MLS RealtyHub manages both the real-world asset and the commercial offers professionals create around it.
- Property — the physical real estate asset, such as a residential property, commercial property, land, or another supported type.
- Listing — the digital commercial offer inside MLS RealtyHub that is linked to a Property and includes the commercial context in which it is being offered.
- Inventory — the working pool of Listings and Properties managed within a user, company, or developer context, including both current and historical records.
A single Property can have more than one Listing when genuinely different commercial offers exist.
What a Structured Listing Contains
A professional Listing should be more than advertising copy. It needs enough structure to remain useful as the offer changes, moves between workflows, or is reviewed by different professionals. The exact data depends on the property type and the information relevant to that particular asset.
The main information groups can include:
- property characteristics — property type, typology, areas, physical, technical, and other supported attributes;
- location — supported location data and applicable cadastral information;
- commercial terms — asking price, sale or rental mode, price per square metre, applicable title/VAT indicators, instalment or financing openness, exchange, BOT, and other supported conditions;
- media and documents — photos, floor plans, renders, PDFs, presentations, and other relevant files;
- identifiers — internal system references and supported external references.
The result is one structured commercial record instead of a set of disconnected materials spread across different tools and folders.
Working With Different Property Types
Different properties require different information. A residential apartment, a commercial space, and a land parcel cannot always be represented well through the same generic field set.
MLS RealtyHub supports property-specific structure so the Listing can contain the characteristics that matter for that asset. Depending on the property, this can include typology, area measurements, physical and technical characteristics, and other supported attributes needed for a structured commercial representation.
Location and Cadastral Information
Location is part of the Listing itself, not a separate note that has to be reconstructed later. A Listing can contain supported location data together with applicable cadastral information, while MLS RealtyHub also includes supporting location and cadastral enrichment capabilities where relevant.
These capabilities help complete the structured property record.
Commercial Terms
A property record becomes commercially useful when it reflects not only what the asset is, but also how it is currently being offered. The exact information depends on the property type and the commercial conditions attached to the Listing.
Supported commercial information can include:
- asking price;
- sale or rental mode;
- price per square metre where applicable;
- supported title and VAT indicators;
- instalment or financing openness;
- exchange, BOT, and other supported commercial conditions.
MLS RealtyHub records and displays these parameters so they remain connected to the Listing. It does not negotiate terms on behalf of the user, provide financing, administer payments, or become a party to the transaction.
Listing Media and Documents
A professional offer is rarely complete with structured fields alone. Photos, floor plans, renders, presentations, and supporting documents are part of the same working context and need to remain connected to the Listing they describe.
A Listing can include:
- photos;
- floor plans;
- renders;
- PDFs;
- presentations;
- other relevant files.
Media ordering and supported WebP conversion are also available through the Listing Media Gallery tool.
Listing Lifecycle
A Listing changes because the commercial offer changes. Prices move, terms are updated, new materials appear, and an offer can stop being active or return later.
MLS RealtyHub therefore supports the Listing throughout its working lifecycle rather than treating it as a static property card.
The lifecycle can be represented as:
Create → Update → Archive → Restore or Delete
The main states are:
- Active — the Listing is in an active working state and is being offered with defined commercial information;
- Archived / Inactive — the offer is no longer active, but the record remains available as part of the working history;
- Restore — an Archived Listing can be returned to Active where applicable;
- Deleted — a separate state that is not another name for Archive.
Importantly, Archived does not mean Sold or Rented. Archiving describes the state of the working record, not the confirmed outcome of a transaction.
How Price History Works
A change in asking price shows why maintaining context inside the Listing matters. If the current number changes, the professional should not need to search through an old advertisement or spreadsheet simply to understand what the previous asking price was.
Price History in this Module has a specific role. It refers to the previous asking price and the context of the latest change. It is not:
- a complete historical price record;
- a full price ledger;
- a complete history of all price changes;
- transaction price history.
For Agents and Intermediaries
As the number of offers grows, the value of one maintained record for each commercial offer grows with it. The professional no longer has to depend on memory, disconnected files, or repeated recreation of the same property information.
Within MLS RealtyHub, professionals can:
- keep core property information inside one Listing;
- update commercial terms without recreating the record;
- maintain related media and documents;
- distinguish active offers from historical records;
- use the maintained Listing in other supported MLS RealtyHub workflows.
The goal is not to create more records. It is to make the records already being used easier to control.
For Property Developers
The same structured foundation can support a developer’s own property stock and related commercial offers. Property characteristics, commercial parameters, and supporting materials can remain connected inside one working Listing instead of being rebuilt repeatedly.
When similar properties or typical units are involved, cloning can be used to copy an existing structure and then change only the information that differs. The separate Developer & Project Management Module handles detailed Project → Unit logic, availability management, project price lists, and other project-level workflows.
How Listings & Inventory Management Works End to End
The workflow begins with a real-world property and turns it into a maintained commercial record inside MLS RealtyHub. The objective is not simply to create a property card, but to establish a Listing that can remain useful while the offer changes over time.
A typical end-to-end scenario looks like this:
- The user begins working with a real-world Property.
- A related Listing is created in MLS RealtyHub.
- Property characteristics and location information are added.
- Supported commercial parameters are entered.
- Relevant media and documents are attached.
- Applicable identifiers are added.
- The Listing is updated when the offer changes.
- It can be moved to Archive when it is no longer active.
- The record can later be restored to Active or deleted where applicable.
The result is a structured, maintained digital Listing within the user’s MLS RealtyHub inventory, ready to participate in supported downstream workflows.
Core Listing Management Capabilities
The following capabilities are available in MLS RealtyHub and work together around one central entity: the maintained Listing. Their purpose is to support one continuous job — creating, maintaining, and organising the commercial property record.
Within the Module, users can:
- create new Listings and edit existing ones;
- work with structured records for residential, commercial real estate, and land;
- maintain asking price and other supported commercial conditions;
- use markers or stickers for working labels;
- clone similar Listings or typical units;
- see asking-price change context;
- work with price-per-square-metre values where applicable;
- separate Active and Archived inventory;
- maintain internal and external identifiers.
Together, these capabilities make the Listing easier to maintain throughout its working lifecycle.
Supporting Capabilities Around the Listing
Additional capabilities support specific parts of the same inventory-management process:
- Cadastral and Location Data Autofill — helps populate supported location and cadastral information;
- Listing Media Gallery — provides the working environment for managing media and files connected to a Listing.
Together, they help users complete and maintain the main Listing record.
What Happens to the Listing Next
A maintained Listing becomes more valuable when the same structured information can support the professional’s next task. Once the record has been created, completed, and kept current, it can act as the source for other supported MLS RealtyHub workflows.
Depending on the relevant process, a Listing can later participate in:
- professional cooperation;
- search and discovery;
- catalogues and presentations;
- marketing and distribution;
- CRM-related workflows;
- integrations.
Listings & Inventory Management is responsible for the structured Listing itself. Visibility, co-broking, search mechanics, catalogues, CRM, syndication, and API delivery are handled by separate MLS RealtyHub Modules and capabilities.
User and Company Context
The professional remains responsible for the working record. The user creates the Listing, provides and edits information, manages related content, updates the offer, and uses the available lifecycle actions.
MLS RealtyHub supports that work by storing the information in a structured record, maintaining system identifiers and states, and providing supporting processing where applicable.
Within a company, Listings created by individual users can contribute to company-level inventory or portfolio structures according to the applicable product and publication logic. Authorship, user control, and management rights determine how these Listings are managed without defining absolute legal ownership.
What the Module Helps You Do
The main value does not come from one isolated function. It comes from replacing fragmented versions of the same property offer with a structured Listing that can be maintained over time.
This helps professionals:
- organise a growing pool of properties;
- maintain structured property and commercial data;
- distinguish current and historical Listing states;
- reduce repeated recreation of the same core information;
- maintain greater control over how working offers are represented;
- reuse a maintained Listing in other supported MLS RealtyHub workflows.
The larger the inventory becomes, the more important that structure becomes.
What the Module Does Not Do
Product boundaries matter because a Listing is the foundation for many later workflows, but this Module is not responsible for performing all of them.
Listings & Inventory Management:
- does not guarantee absolute data accuracy;
- does not legally verify the offer;
- does not guarantee elimination of all duplicates;
- does not automatically publish a Listing to every possible destination;
- does not guarantee universal real-time synchronisation;
- does not provide financing;
- does not administer payments;
- does not complete transactions;
- does not guarantee faster sales, higher revenue, or improved conversion.
MLS RealtyHub is a professional B2B working environment, not a broker, intermediary, or party to the transaction. It should also not be confused with the separate B2C products RealtyHub.cy and Realty.com.cy.
